How to Create a Portable Company Data File

Creating a portable company data file is an easy way to share the data with other users and people requiring access to your company data. A portable copy of your file is compressed to save room so you can easily transport the file. This makes it easy to email the file or move it on small storage devices.

If you want to send a file to your accountant, this is not the right process for you. This process let’s you share your company data, but not import changes. Creating an accountant’s copy allows your accountant to review your company books, make changes, and allow you to import those changes back into your company file.

  1. Click the File menu.
  2. Select Save Copy or Backup.
  3. Select Portable company file. Click Next.
  4. Name your portable file and click Save.
  5. Click OK to continue.
  6. Click OK. The QuickBooks portable file is created.

The QuickBooks portable file is a compact version of your company file.
