Print and Print Preview

To print your document:

  1. Click the Microsoft Office button Microsoft Office button.
  2. In the menu that opens, click Print.

The Print dialog opens.

Tip:

To send the document directly to the printer using the default settings, click the arrow next to the Print command, then select Quick Print

  1. Make sure the correct printer is selected in the Name field.

Tip:

The Properties button lets you specify additional options specific to your printer. These include paper type, collating and hole punching, and color settings.

  1. Select the page range. To print a specific page range, select the Pages option and enter the beginning and ending page numbers separated by a hyphen (for example, 5-20).
  2. Enter the number of copies and select Collate, if you want the document to print in its entirety before each subsequent copy is printed.
  3. Select any other options as necessary.

Tip:

Clicking the Options button opens the Word Options dialog box to the Display settings, where you can choose whether or not to print drawings, background colors and images, document properties, and other elements.

  1. Click OK to print the document.

To preview your document before you print it:

  1. Click the Microsoft Office button Microsoft Office button.
  2. Click the arrow next to the Print command.
  3. In the menu that appears to the right, select Print Preview.

The Preview window shows you exactly how your document will appear when printed:

Notice that the pointer appears as a magnifying glass with a plus sign in the middle. Click the mouse to zoom in on the document. Click again to zoom back out.

The Print Preview options appear along a single tab on the Ribbon. These let you modify the print options and page layout as necessary before you print.

Clicking the Options button opens the Word Options dialog box to the Display settings, where you can choose whether or not to print drawings, background colors and images, document properties, and other elements.

To print your document from the Preview window, click the Print button. Or, to return to the document without printing, click the Close Print Preview button.
